The short version
Never sold on. Your details are used to prepare your quote and to do the work. They are not sold, and they are not passed to lead brokers or other installers.
Who is responsible for your information
Pro-Fit Green Energy Ltd is the data controller. That means we decide what is collected and why, and we are the people you complain to if we get it wrong.
- Registered namePro-Fit Green Energy Ltd
- Company number14403671, registered in England and Wales, incorporated 7 October 2022

What the quote tool collects
The quote tool asks five questions about your property and how you use electricity, then for your mobile number, name and postcode, and your email address if you want to give it. Your mobile number reaches us as soon as you enter it, so we can call you about your guide price even if you do not finish, or text you instead if you tick "I'd prefer to be texted". A number our check turns down reaches us too, every try, so a slipped digit does not lose your enquiry; we only use it to reach you about this quote. If you choose a best time to call, we note that with your enquiry. The rest follows as you answer, and your guide price appears at the end.
- Property answersProperty type, number of floors, roof aspect, shading, roughly what you spend on electricity each month, and what you are after. None of these identify you.
- Mobile numberSo someone from our team can call you, or text you if you ask us to, about your guide price and arrange a survey if you want one.
- NameSo we know who we are speaking to when we call.
- PostcodeUsed to check you are inside the area we cover, and to sense check the price.
- Email addressOptional. So we can reply to your enquiry by email, and confirm a survey if you book one.
We ask for your details before showing a price so that someone can follow it up with you. If you would rather not give them, the guide prices for every standard system are published on our prices page, with nothing to fill in.
What the website itself collects
Very little, and we would rather say so than pad this page out.
- Server logsOur hosting provider records the usual technical information when a page is served, including the requesting IP address, the page requested and the browser used. This is how any website stays up and stays secure.
- Your IP address, with an enquiryWhen you send the quote tool or the contact form, the IP address it came from is stored with your enquiry and shown to the staff member who picks it up. It helps us spot fake or automated submissions. It is kept with the enquiry, under the retention rules below, and used for nothing else.
- AnalyticsPostHog, and only if you agree to it. It does not load at all until you say yes. It shows us which pages get read, where people tap and how far they scroll, and where people give up on the quote tool, and it can record how a page was used (scrolling, clicks and what was on screen) with everything you type hidden. It also notes page errors and how long the page took to load. It records your IP address and works out an approximate location, such as your town, from it, and keeps your visits together under a random ID, never your name or contact details, so a second visit is seen as a second visit. The data is held in PostHog's EU region and is never used for advertising. If you then send us an enquiry, we link it to your visit, so we can see how you found us and what you looked at. Say no and nothing is set or sent. See the cookies page for the detail.
- Your cookie answer, countedWhen you answer the cookie banner, we add one to that day's count of answers (yes to everything, no to everything, or a mix). Nothing that identifies you is stored with it, and no cookie is set for it. It tells us how much of our traffic the analytics can see.
- Advert measurementGoogle Ads conversion measurement, and only if you agree to it. It does not load until you say yes. It tells us whether an enquiry or a call came from one of our Google adverts, so we know which adverts are worth paying for. Personalised advertising and remarketing are switched off. Say no and nothing is set.
- Local storageYour progress through the quote tool is saved in your own browser for seven days, so you can come back to a part-finished quote. It is not sent to us.
Your answers sit in your own browser under a single saved item while you are working through the quote. They expire after seven days and are deleted the moment you reach the end of the quote.
When you submit the quote tool or the contact form, what you have typed is stored in our customer records system, which is hosted by Supabase in its London data centre. A notification email with your enquiry is then sent to our team through Resend, an email delivery service, and it sits in our mailbox on Microsoft 365 under the retention rules below.
Why we are allowed to hold it
UK GDPR asks us to name a lawful basis for each thing we do. There are two.
Answering you
Legitimate interests, for answering you
If you ask us for a price, we have a legitimate interest in preparing one and getting back to you. That covers the quote, the survey booking, and the work of designing and installing a system if you go ahead. Where a contract follows, we then hold what we need to perform it and to meet our legal obligations.
Marketing
Consent, for anything that is marketing
Sending you offers, news or a reminder that the VAT relief is ending is marketing, and marketing needs your consent. You give it separately, you are never opted in by default, and you can withdraw it at any time without it affecting a quote or an installation.
Analytics and advert measurement are also based on your consent, given in the banner before anything is set. You can withdraw it at any time from the Cookie preferences link at the bottom of every page.
What we do not do with it
This is the part most privacy policies leave vague, so we will be blunt about it.
- We do not sell your detailsNot to anyone, for any price, at any point. There is no version of our business where your postcode and phone number are a product.
- We do not pass you to lead brokersEnquiries submitted here are not sold on to lead generation companies, comparison sites or other installers. If you fill in our quote tool, the only company that rings or texts you about it is ours.
- We do not add you to a marketing list by stealthAsking for a price is not consent to be marketed to. Those are two separate decisions and we treat them that way.
- We do not score you or make automated decisions about youThe price the tool shows is arithmetic on the answers you gave. There is no scoring of you as a customer, and no decision with a legal or similarly significant effect is made about you by a machine. If you agreed to analytics, the record of your visits is read by people improving the site, never used to rate you.
Who does see it
A short list, and each entry has a reason attached.
- Pro-Fit staff and installersThe office team who book surveys, the surveyor who visits, and the installation team who do the work, each seeing only what their part of the job needs.
- Our systems providersSupabase, which hosts our customer records system in London; Resend, which delivers the notification email when you send an enquiry; and Vercel, which hosts this website. If you agreed to analytics, PostHog, which holds that data in the EU. All four act on our instructions and only for those purposes. Our email is on Microsoft 365, which is where the notification then sits.
- GoogleIf you agreed to advert measurement, Google is told when an enquiry is sent or our number is tapped, so the advert that brought you here gets the credit. It is not sent your name, your email, your phone number or anything you typed into a form.
- A surveyorYour address and your answers, so the visit is useful. Surveyors work for Pro-Fit, not for a lead or sales agency.
- A finance brokerOnly if you ask us about finance, and only what an application needs. If you never raise finance, no broker ever sees your details.
- Your Distribution Network OperatorFor a job that proceeds. Connecting generation or storage to the grid has to be notified, and that notification carries your address and the system details.
- Our certification schemeFor a job that proceeds, so your installation can be registered with MCS and your MCS certificate issued, through our certification body, NAPIT. This is what your energy supplier later asks to see when you apply for export payments.
- Our professional advisersAccountants, insurers and, if it ever came to it, lawyers. Only where there is a genuine need.
- Where the law requires itHMRC, a regulator, or a court order.
How long we keep it
Holding information forever because it might be useful one day is not a reason, so each category has an end date.
| What | How long | Why |
|---|---|---|
| Quote progress in your browser | 7 days | So you can return to a part-finished quote. It expires on its own and you can clear it yourself. |
| An enquiry that goes no further | 12 months | Long enough to recognise you if you come back, short enough that a cold record is not sitting around. |
| A survey with no order | 24 months | People often survey now and install later, usually when a tariff or a boiler forces the decision. |
| Accounting records | 6 years | The period company and tax law requires. |
| Analytics, if you agreed to it | 12 months, recordings 30 days | Long enough to compare one season with the next. Recordings are only useful while a problem is being fixed. |
| Marketing consent | Until withdrawn | Plus a note of the withdrawal itself, so we do not accidentally contact you again. |
Each period above is the point at which we delete or anonymise that category, unless the law obliges us to keep it for longer. If you ask us to remove something sooner, we will say yes or explain exactly which rule stops us.
Your rights, and how to use them
Under UK GDPR you have rights over the information we hold about you. You do not need a reason and you do not need to be polite about it.
- AccessAsk for a copy of what we hold about you.
- RectificationHave anything wrong corrected.
- ErasureAsk us to delete it, unless we are required to keep it, for example accounting or certification records.
- RestrictionAsk us to stop using it while a dispute about it is sorted out.
- ObjectionObject to our use of legitimate interests. If you object to marketing, we stop, with no balancing test and no argument.
- PortabilityReceive the details you gave us in a machine readable form.
- Withdraw consentAt any time, for anything we do on the basis of consent.
Write to us at the registered office above or use the privacy contact once it is published, and we will respond within one month. There is no charge.
Complaining to the regulator
If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office, the UK regulator for data protection. You can reach the ICO on 0303 123 1113 or at ico.org.uk/make-a-complaint. We would rather you came to us first, but that is your choice and not a condition.
Quote progress saved in your browser
When you start the quote tool, your answers so far are written into your own browser's local storage under the name pf-quote-v4. That is what lets you close the tab, come back and pick up where you left off.
- Where it livesOn your device, in your browser. It is not transmitted to us and we cannot read it.
- How longSeven days. After that the tool discards it and starts fresh.
- When it goes soonerAs soon as you finish the quote, it is deleted.
- How to clear it yourselfClear site data for this site in your browser settings, or open the page in a private window so nothing is kept at all.
This is not a cookie, and it is not tracking. The cookies page explains the difference, and why this entry is not covered by the consent banner.
